Do you enjoy making the lives of people “better and easier”? If so, keep reading! The Administrative Assistant ll is a critical position that will support our customer located in Mountain View, CA.  

A Day in the Life of an Administrative Assistant ll

  • Provide general clerical and administrative support, to include but not limited to the following:
  • Maintain and process documents
  • Assist with the preparation of presentations, to include preparing PowerPoint slides with charts
  • Prepare, process, and finalize letters and co
  • Answer phones, to include handling calls from Partners reporting maintenance issues
  • Assist with visitors, from assisting with visitor badges to escorting the individual
  • Oversee the scheduling of meetings
  • Manage morale, welfare, and recreation funds
  • Oversee office supplies ordering and distribution
  • Coordinate the quarterly newsletter mailing
  • Maintain and update various trackers/spreadsheets, to include vacation time for the department, open leases, and staff roster.
  • Oversee the mail for the department

Plan and coordinate meetings, special projects and events, to include but not limited to the following:

  • Arrange meeting locations, place reservations and complete associated paperwork
  • Communicate events by emailing / mailing flyers to government employees and partners
  • Maintain and update event email lists.

Your Skills

  • Associate degree, or equivalent experience
  • 4 years of related experience
  • Proven ability to support individuals of various levels
  • Strong communication skills, with a customer-centric mindset
